Job Title: Document Controller

Location: Lagos

Job Description 

  • To manage and control all BPDW and project-specific documentation in compliance with ISO standards.
  • The role ensures accurate and efficient handling, tracking, storage, and retrieval of documents in all departments and throughout the lifecycle of the Company’s projects.

Key Responsibilities
Document Management:

  • Maintain and update document control systems for all BPDW and project-related documents.
  • Assess existing document control policies and procedures and improve upon them
  • Ensure proper & serial indexing of BPDW internal/externally issued documents, i.e client quotations, invoices, vendor quotations, etc
  • Ensure documents are accurately numbered, labelled, and electronically filed.
  • Distribute documents to relevant stakeholders in a timely manner.

Compliance & Quality Assurance:

  • Ensure all documentation meets internal and external quality standards (e.g., ISO 9001,45001,14001).
  • Track and implement revisions to controlled documents in coordination with all departments

Project Coordination:

  • Support project teams by providing access to current drawings, specifications, and procedures.
  • Liaise with employees, contractors, vendors, and clients to coordinate document flow.
  • Ensure all project close-out documents, including reports, Job Completion Certificates, and Customer Satisfaction Surveys, are obtained/submitted and endorsed by the client and electronically filed in the repository

Archiving & Retrieval:

  • Maintain digital and physical document repositories in all departments
  • Prepare project document turnover packages for clients at project close-out.
  • Create and maintain a company-wide document register for easy access to all documents

System & Process Improvement:

  • Ensure all departments implement and strictly follow an organized electronic filing system in both personal and shared workspace folders
  • Support the implementation, maintenance and strict compliance of EDMS (Electronic Document Management Systems), i.e. SharePoint.

Required Qualifications & Skills

  • First degree in Business Administration, Engineering, or equivalent.
  • Minimum 5 years of document control experience in the Oil & Gas, Marine industries.
  • Familiarity with EDMS tools (e.g., Aconex, SharePoint, Documentum).
  • Understanding of technical documents (P&IDs, Data sheets, MTOs, etc.).
  • Hands-on experience in QMS ISO 9001:2015 will be of advantage
  • Strong organisational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and a methodical approach to work.
