Supervises: Maintenance Supervisors, Electrical Technicians, Mechanical Technicians, HVAC Technicians, Plumbers, Carpenters, Painters, Masons, Civil Maintenance Technicians, Swimming Pool Technician, Generator Technicians, Facility Officers, Groundskeepers, and other Facility Maintenance Personnel. Job Summary

The Facility Manager is responsible for planning, directing, coordinating, and managing the operation, maintenance, safety, and continuous improvement of all hotel buildings, infrastructure, utilities, equipment, and physical assets to ensure a safe, functional, efficient, and aesthetically pleasing environment consistent with the standards of a superior luxury hotel. The role oversees preventive, corrective, and predictive maintenance programmes covering electrical systems, plumbing, HVAC, elevators, generators, water treatment systems, swimming pools, fire protection systems, kitchen equipment, guest room facilities, public areas, landscaping, and other building services. The Facility Manager ensures maximum equipment reliability, regulatory compliance, energy efficiency, and asset preservation while minimising operational downtime and maintenance costs. Working closely with the Operations Manager, Executive Housekeeper, Director of Food & Beverage, Security Manager, IT Manager, and other department heads, the Facility Manager supports uninterrupted hotel operations, exceptional guest experiences, and long-term asset sustainability.


Responsibilities
Facilities & Building Management:

Plan, coordinate, and supervise the maintenance and operation of all hotel buildings, infrastructure, and facilities. Ensure all guest rooms, public areas, back-of-house facilities, restaurants, bars, conference rooms, spa, gym, swimming pool, offices, and staff facilities remain in excellent operating condition. Conduct routine inspections to identify maintenance needs and facility improvement opportunities. Ensure all physical assets are maintained to superior luxury hospitality standards. Coordinate maintenance schedules to minimise operational disruptions. Maintain accurate records of building conditions, repairs, and maintenance history.


Preventive & Corrective Maintenance:

Develop and implement comprehensive preventive maintenance programmes. Coordinate corrective maintenance activities and emergency repairs.


Monitor maintenance schedules to ensure timely completion:

Reduce equipment downtime through proactive maintenance. Maintain maintenance logs, schedules, and asset histories. Ensure all maintenance work complies with manufacturer specifications and industry best practices.

Mechanical, Electrical & Plumbing (MEP) Systems :

Oversee maintenance of electrical systems, generators, transformers, switchgear, lighting, and power distribution systems. Supervise plumbing systems, water supply networks, sewage systems, drainage, and sanitary installations. Ensure HVAC systems operate efficiently and provide optimal guest comfort. Monitor boilers, pumps, water treatment systems, and pressure systems. Coordinate maintenance of elevators, escalators, and automatic doors where applicable. Ensure uninterrupted utility services throughout the hotel.


Engineering & Technical Services :

Supervise engineering and maintenance personnel. Allocate daily maintenance assignments and monitor work completion. Ensure maintenance requests are attended to within agreed service timelines. Coordinate technical troubleshooting for equipment failures. Support installation, commissioning, and testing of new equipment. Maintain technical documentation, manuals, and maintenance procedures.


Asset Management :

Maintain an accurate register of all hotel facilities, plant, machinery, and engineering assets. Monitor asset performance, condition, and useful life. Develop replacement and refurbishment plans. Coordinate periodic asset inspections. Recommend capital replacement projects based on equipment condition and operational requirements. Safeguard hotel assets against misuse, neglect, and deterioration.


Energy & Utility Management :

Monitor electricity, diesel, gas, water, internet, and other utility consumption. Develop and implement energy conservation initiatives. Analyse utility usage trends and recommend cost-saving measures. Monitor generator fuel consumption and efficiency. Ensure uninterrupted utility supply during hotel operations. Promote sustainable facility management practices.


Budgeting & Cost Control :

Prepare annual facilities and maintenance budgets. Monitor maintenance expenditures against approved budgets. Control maintenance costs while maintaining quality standards. Review maintenance contracts and service agreements. Recommend cost-effective maintenance solutions. Monitor spare parts inventory and procurement costs. Prepare periodic maintenance cost reports.


Contractor & Vendor Management :

Manage relationships with contractors, consultants, and service providers. Evaluate contractor performance and compliance with service level agreements. Supervise outsourced maintenance activities. Ensure contractors comply with hotel safety and operational standards. Verify contractor work before approval of payments. Coordinate tendering and procurement of maintenance services where required.

Health, Safety & Regulatory Compliance:

Ensure compliance with building regulations, fire safety standards, occupational health and safety requirements, and environmental regulations. Coordinate routine fire safety inspections and emergency preparedness activities. Ensure fire alarm systems, extinguishers, hydrants, sprinklers, and emergency lighting remain operational. Conduct facility safety inspections and risk assessments. Investigate maintenance-related incidents and recommend preventive measures. Promote a safe working environment for guests, employees, and contractors.


Housekeeping & Operational Support :

Coordinate with Housekeeping to ensure prompt resolution of maintenance requests in guest rooms and public areas. Ensure rooms taken out of service for maintenance are returned promptly. Support room refurbishment and renovation projects. Minimise guest inconvenience during maintenance activities. Maintain the aesthetic appearance of hotel facilities.


Security Systems & Building Services :

Coordinate maintenance of CCTV infrastructure, access control systems, intercoms, public address systems, and electronic security systems in collaboration with the IT and Security Departments. Ensure perimeter lighting and emergency systems remain operational. Support security initiatives through effective facility management. Maintain backup power systems supporting security operations.


Renovation & Capital Projects :

Plan, coordinate, and supervise renovation, refurbishment, and expansion projects. Monitor project timelines, quality, and budgets. Coordinate consultants, contractors, and suppliers. Ensure projects comply with approved specifications. Report project progress to  Management. Participate in commissioning and handover processes.


Team Leadership & Staff Development:

Recruit, supervise, coach, mentor, and evaluate facility maintenance personnel. Prepare duty rosters and work schedules. Conduct performance evaluations. Identify technical training requirements. Promote teamwork, safety, accountability, and continuous improvement. Develop succession plans for key technical positions.


Reporting & Administration:

Prepare daily, weekly, monthly, quarterly, and annual maintenance reports. Monitor departmental KPIs. Maintain maintenance records, asset registers, service contracts, inspection reports, and statutory certificates. Prepare management reports on maintenance performance, asset condition, and operational risks. Maintain complete engineering documentation.


Compliance & Continuous Improvement :

Ensure compliance with company policies, engineering standards, and regulatory requirements. Participate in internal and external audits. Implement preventive maintenance improvements. Recommend innovative technologies that improve efficiency and sustainability. Promote environmental sustainability and waste reduction. Continuously review maintenance processes for operational improvement.


Requirements

Bachelor's Degree in Mechanical Engineering, Electrical Engineering, Civil Engineering, Building Services Engineering, Facility Management, Estate Management, or a related discipline. A Master's Degree is an added advantage. Minimum of 7–10 years of progressive facilities or engineering management experience. At least 5 years in a supervisory or managerial role within a reputable hotel, commercial property, hospital, or large facility. Experience in a superior luxury hotel or internationally branded hospitality establishment is highly preferred.

Professional Certifications (Preferred) • COREN Registration (where applicable).

NSE Membership. IFMA Certified Facility Manager (CFM) or FMP. IOSH or NEBOSH Health & Safety Certification. Project Management Professional (PMP) is an added advantage. Energy Management Certification is an added advantage.
