The Guest Service Agent is responsible for providing warm, efficient, and professional service to guests throughout their stay. The role involves handling guest arrivals and departures, responding to requests and enquiries, resolving complaints, processing transactions, and ensuring an exceptional guest experience in line with the hotel’s service standards.
Welcome and acknowledge guests promptly and professionally. Complete check-in and check-out procedures accurately and efficiently. Verify guest information, reservations, identification, and payment details. Provide guests with relevant information about hotel facilities, services, and operating hours. Assist with room assignments and special guest requests.
Respond promptly to guest enquiries, requests, and concerns. Maintain a positive, friendly, and professional attitude at all times. Anticipate guest needs and provide personalized service where possible. Handle guest complaints professionally and escalate unresolved matters to the appropriate supervisor or manager. Follow up on guest requests to ensure they have been satisfactorily resolved.
Process room charges, payments, deposits, and other transactions accurately. Maintain accurate guest records and update information where required. Manage room keys/cards and ensure proper security procedures are followed. Monitor and communicate room status with relevant departments. Maintain a clean, organized, and professional front desk area.
Communicate effectively with Housekeeping, Food & Beverage, Engineering, Security, and other departments. Ensure important guest information and requests are properly communicated during shift handovers. Answer and direct telephone calls professionally. Provide accurate information about hotel services, facilities, and local attractions.
Promote hotel services, facilities, packages, and upgrades where appropriate. Encourage eligible guests to enroll in the hotel’s loyalty programme. Recognize returning, VIP, and loyalty programme guests and provide appropriate personalized service. Maintain awareness of guest preferences and special occasions.
Standards, Compliance & Safety:
Follow all hotel policies, procedures, and brand standards. Protect guest privacy and confidential information. Follow cash-handling, security, emergency, and health and safety procedures. Complete all required training and maintain knowledge of hotel systems and procedures. Report maintenance, safety, or security concerns promptly.
Qualifications & Experience
Minimum of an OND / HND / Bachelor’s Degree in Hospitality Management, Tourism, Business Administration, or a related field. 1–2 years’ experience in a hotel Front Office/Guest Services role. Must have hands-on experience using OPERA Property Management System (PMS). Strong knowledge of hotel front office operations, including check-in, check-out, room assignments, billing, reservations, and guest account management. Excellent customer service and communication skills. Ability to handle guest complaints and resolve issues professionally. Good computer skills and ability to learn and use hotel systems efficiently. Must be willing to work flexible shifts, including weekends and public holidays.
